Vacation Rental Policies

AGE REQUIREMENT:

The guest making the reservation must be a minimum of 25 years of age or older and must occupy the rental property for the entire term of the reservation. The registered guest is the only person that may perform the check-in. The registered guest must present proper identification to check-in and receive keys to the unit. If the registered guest checking in is found to be under the age of 25 the guests will not be allowed to check in and no refund will be issued. Guests under the age of 25 must be accompanied by parent or legal guardian.

RESERVATION DEPOSIT POLICY FOR NIGHTLY RENTALS:

Reservation within 60 days of arrival - All reservations made within 60 days of arrival date are required to be paid in full at time of booking and are nonrefundable.

Reservations outside 60 days of arrival - Reservations made more than 60 days prior to arrival require a 50% deposit at time of booking with the remaining 50% due 60 days prior to arrival date. The remaining 50% balance will/may be charged to original credit card automatically unless special arrangements are made.

RESERVATION DEPOSIT POLICY FOR MONTHLY RENTALS:

Reservations within 90 days of arrival - All reservations made within 90 days of arrival date are required to be paid in full at time of booking and are non-refundable.

Reservations outside 90 days of arrival - Reservations made more than 90 days prior to arrival require a 50% deposit at time of booking with the remaining 50% due 90 days prior to arrival date. The remaining 50% balance will/may be charged to original credit card automatically unless special arrangements are made. Please contact us for special deposit requests for reservations with arrival dates at least 10 months in advance as we tend to be flexible with deposits in special circumstances.

 

TYPES OF PAYMENT ACCEPTED:

We accept Visa, Master Card, and Discover. We also accept e-checks and personal or business checks for reservations outside of 60 days prior to arrival. International customers have the option of an international wire transfer. Special Payment arrangement options - In certain cases, payment arrangements can be made so long as the deposit is received at the time of booking and the balance is paid 60 days prior to arrival. CSA Reservation Trip Interruption / Cancellation Insurance Travel Insurance:

Due to strict guidelines to Key West cancellation policies, WE STRONGLY ENCOURAGE YOU TO PURCHASE CSA RESERVATION INSURANCE. Travel insurance is not refundable, but may cover you up to the entire resrevation cost, minus the any travel insurance costs.You may purchase CSA Travel Insurance through Historic Key West Vacation Rentals or through an agency of your choice. A quote has been provided. This insurance is available to U.S. residents only. We ask our international guests to find a local provider. Hurricanes: If you are traveling during Hurricane Season, which is generally June 1 through Nov. 30, we strongly suggest you purchase Travel Insurance. There will be no refunds for weather or for early departure.

The insurance rate offered is 7.65% of the reservation total.

After the policy is purchased through us, we can provide another email with hyperlinks so that you may add airfare to the policy if you are flying.

DAMAGE INSURANCE:

You have the option of purchasing a non-refundable $45 damage insurance policy which covers your entire party for up to $3000 of acciental damages OR a refundable security deposit of $3,000. This includes many unexpected everyday accidents from red wine spills and make up stains, to appliances and glassware. Most of our guests prefer this rather than being charged the full amount of the cleaning, repair or replacement of the damaged item..

We prefer a damage insurance policy as many of our homes have expensive furnishings and unintentional accidents, like spilling red wine on the sofa, for example can be a big expense to a guest.

We also find it creates a better guest relationship. Often times guests are embarrassed about the damage or a member of their party doesn't fess up to the damage. We end up in the middle as we are charged with maintaining owner's home and also providing a wonderful guest experience. With the damage insurance we simply repair or replace the damaged item and get reimbursed by the insurance company.

You also have the option of paying a refundable $3000 damage deposit.

CHECK IN TIME:

Check-In time is 4:00 PM. Please do not count on an early check in. While we do our best to accommodate requests for early arrivals, please be advised that an early check-in is at the discretion of our executive housekeeper, and is only possible if the rental property you are renting is prepared for arrival and approved in advance during the check-in call.

LATE ARRIVAL:

Late arrivals can be arranged with guest services.

You will come directly to our office located at 425 Eaton Street.

We have lockers on the front of the office.

The combination code will be emailed to you prior to the office closing on your arrival date.

The next morning you will come to our office to complete the check in process. Please bring your id and a credit card.

CHECK OUT TIME:

Properties must be vacated by 10:00 AM. You need to check out at the office. Housekeeping and maintenance professionals must have access to all properties from 10:00 am to 4:00 PM and guests who leave after 10:00 AM may be subject to an additional charge.

LATE CHECK-OUT:

A late check-out can be requested by contacting the office either by phone - 305-296-1010 - or by email -bookings@historickw.com. However, a late check-out is at the discretion of the executive housekeeper and maintenance staff. Late check outs will give guests until 12:00 Noon only. Under no circumstances is a guest to re-enter a property after check out.

HOUSEKEEPING:

Your vacation home is cleaned prior to your arrival and also upon departure. Monthly rentals also include a mid-stay cleaning. Additional housekeeping can be arranged for at an additional cost and may include turning your linens and exchanging towels if needed.

SMOKING:

Our homes are all non-smoking. Smoking is allowed outside only and ashtrays are provided. Smoking inside will result in additional cleaning charges.

MAXIMIM OCCUPANCY:

Maximum occupancy of the property is set by the Fire Marshall. Only the guests listed on the last page of the contract are permitted to stay overnight on the property. If a number greater than the agreed upon number or ages occurs, you will be asked to leave with no refund. Guests under the age of 25 must be accompanied by a parent or guardian.

SPECIAL EVENTS:

The Property is to be used for general vacation purposes only. Guest agrees that Guest and Guest’s Permitted Invitees will not use the property for hosting weddings, parties, large gatherings, commercial business, filming or other similar activities. Further, noncompliance will be considered a breach of contract and will result in forfeiture of all monies paid, immediate eviction, and manager’s right of refusal to allow access to the premises.

GUEST RESPONISIBILITY:

The guest signing the rental agreement assumes all responsibility for the actions and behavior of all guests and agrees to follow the rules of the vacation rental agreement and when applicable the HOA rules.

NOISE COMPLAINTS:

Our properties are in residential neighborhoods and are unsuitable for loud parties, events or entertaining groups. If behavior or noise results in a complaint or any violation set forth by the City of Key West laws and ordinances, or any other violation of the rental agreement, a charge of $100 for the first complaint will be charged to the registered guest’s credit card. A second complaint will result in the entire party being asked to leave with no refund.

LOST KEYS:

If keys are lost, the home will be rekeyed and the cost will be charged to registered guest’s credit card on file.

LOCK OUTS:

Lockouts for any guests will result in a $30 fee charged to registered guest’s credit card on file.

AFTER HOURS SERVICE CALLS:

Guest agrees to pay $50 service fee for non-emergency services performed outside of normal business hours (10am - 6pm daily). Historic Key West Vacation Rentals has sole discretion on whether the service performed is considered an emergency or not. Fee will be charged to registered guest’s credit card on file.

PERSONAL PROPERTY LEFT BEHIND:

If personal property is left behind and it is necessary for the items to be returned, please call our office at 305-296-1010 or email us with your name, date of stay and the unit you occupied. We will then work with you so that you can coordinate pick up of items left behind at your cost with a courier.

CONCIERGE AND SPECIAL SERVICES:

Our staff provides concierge services to meet all your needs. Contact the office for all excursion questions.

MINIMUM NIGHT REQUIREMENTS - TRUMAN ANNEX RENTALS:

The rentals in the Truman Annex have a firm 7 night minimum set by their HOA.

MINIMUM NIGHT REQUIREMENTS - MONTHLY RENTALS:

Key West has a special ordinance which strictly enforces a minimum stay requirement for vacation rentals which do not have a special “transient rental license.” If a home is listed as a monthly rental under no circumstances will we rent it for a period of less than 28 nights.

RATE NOTICE ADDITIONAL FEES:

Published rates are subject to change without notice and do not include 7.5% State Sales Tax, 5% Monroe County Tourist Tax.

RECEIVING MAIL:

Do not have personal mail, UPS or FedEx packages sent to the property as most owners have a forwarding order in effect and your mail will be forwarded to them. You may have mail or packages sent to our office during your stay. Post as: C/O Historic Key West Vacation Rentals, Attn: the Rental Contract holder name, 425 Eaton Street, Key West, FL, 33040 and we will call you when they arrive for pick-up.
